Transcript Request and Verification Management
Kissflow gives the registrar's office one governed workflow for transcript requests, from a student or a third party, checking eligibility and holds, routing anything that needs registrar review, and giving the requester a live status they can check without calling.
Trusted by energy operators worldwide
The registrar can produce the transcript in seconds. Whether the student is cleared to receive it takes longer.
A transcript is a simple document and a request for one is rarely a simple approval. Before it goes out, someone has to confirm the student has no outstanding bursar, library, or conduct hold, that the release matches what the student actually consented to under FERPA, and that a third-party requester, an employer, a licensing board, a grad school through the National Student Clearinghouse, is who they say they are. Most of that runs on the same infrastructure it did a decade ago: a paper or web form, an inbox the registrar's staff triages by hand, and a hold list someone checks manually against the SIS.
Volume makes the manual version expensive. A registrar's office fields requests year round, spikes hard at the end of every term, and still has to give each one the same three checks before anything gets released. A rush request, a sealed-and-mailed request for a licensure board, and a routine electronic delivery to a grad school all move through the same overloaded inbox with no way for the requester to see where their own request sits.
Kissflow builds this as a governed request app: an intake form that captures delivery method and destination, an automatic hold and eligibility check against the SIS, multi-stage approval with delegation for staff absences and escalation for anything unusual, a full audit trail of who released what to whom, and a self-service portal where the requester checks status without a phone call. The SIS stays the record of enrollment and grades; Kissflow is the layer that gets a request from submission to a released, logged transcript.
What slows a transcript request down today
Holds get checked by hand
A bursar, library, or conduct hold has to be looked up in the SIS for every request before anything can go out.
Consent and request don't always match
What a student authorized under FERPA and what a third party is asking for can drift apart without a system checking both.
Requesters call because they can't see status
With no self-service view, "where's my transcript" calls land back on the same staff processing the queue.
Rush and routine requests share one inbox
A licensure board's urgent request and a routine electronic delivery compete for attention with no visible priority.
Six modules. Built for volume, not a generic web form.
Every module ships with default forms, routing, and dashboards. Configure each one to your release policy in the visual builder.
Request intake
Captures requester identity, delivery method, and destination for a student or third-party transcript request.
Hold and eligibility check
Checks the request against bursar, library, and conduct holds in the SIS before it moves forward.
Consent validation
Confirms the request matches the FERPA consent the student has on file before any release.
Multi-stage approval
Routes anything outside standard release, a sealed mail request, a subpoena, an unusual destination, to registrar review with delegation and escalation.
Release audit trail
Logs who requested, who approved, and who released every transcript, with delivery method and timestamp.
Requester status portal
Gives the student or third-party requester a live status view without a call to the registrar's office.
From request to system of record in four steps
Submit
A student or third party submits a transcript request with delivery method and destination.
Review
The request is checked against bursar, library, and conduct holds and validated against FERPA consent on file.
Approve
Standard requests release automatically; anything unusual routes to registrar staff for review and approval.
Record
The requester sees live status, and the release is logged for the next audit or dispute.
What changes when transcript requests run on Kissflow
| Process | Before Kissflow | On Kissflow |
|---|---|---|
| Hold check | Looked up by hand in the SIS per request | Checked automatically before a request moves forward |
| Consent validation | Assumed to match unless someone notices | Verified against FERPA consent on file every time |
| Rush requests | Compete for attention in the same inbox | Flagged and routed with visible priority |
| Requester visibility | A phone call to check status | Self-service status without contacting staff |
| Release record | Reconstructed from email if disputed | A full audit trail of who released what, to whom, when |
| Staff coverage | A request stalls if the assigned staffer is out | Delegation and escalation keep requests moving |
Connects to your SIS; the SIS stays the enrollment and grade record
Kissflow does not replace Banner, Workday Student, Ellucian Colleague, or your SIS of record. It is the workflow layer that takes a request from submission through hold check, approval, and release.

Built for volume and holds, not a generic web form
Holds checked before release, not after
A request cannot clear without an automatic check against bursar, library, and conduct holds.
Consent and request matched every time
FERPA consent on file is checked against the request, not assumed.
Requesters stop calling to check status
A self-service portal answers "where's my transcript" before the phone rings.
Delegation keeps requests moving
Staff absence doesn't stall a request; delegation and escalation routes cover it.
Live in weeks
The registrar's office configures the request form, holds check, and routing in the visual builder.
Access limited to who needs it
Release records and requester data stay restricted to registrar staff with a role-based need.

Get SupportNo. Your SIS remains the enrollment and grade record and the Clearinghouse remains the verification network for many outside requesters. Kissflow manages the request, the hold and consent check, and the release workflow around them.
