Disability Services and ADA Accommodation Case Management

Kissflow intakes an accommodation request from any channel, routes it to the interactive process, tracks documentation review, and delivers a binding accommodation letter to every instructor of record on a case, with renewal tracking each term, so disability services can show exactly what's in place for a student and who's been notified, without reconstructing it from an inbox.

An accommodation letter is only binding once it reaches the instructor of record, and nothing about the process guarantees that it does.

A student's accommodation is only real to a professor who's actually seen the letter. Disability services offices run an interactive process, intake a request, review medical or psychological documentation, determine what's reasonable, and issue a letter, that produces a document. What happens after the letter is issued is usually where the process actually fails: a student is supposed to deliver the letter to each instructor, an instructor is supposed to acknowledge it, and neither step is tracked anywhere but the student's own follow-through.

By the time a grade dispute or a Section 504 or ADA complaint surfaces, the office is often trying to prove notification happened, not just that the accommodation was approved. And every term, the letter has to be reissued and redelivered again, to the same instructors or a new set, with the documentation review it rests on sometimes years old and due for its own renewal check.

Kissflow runs this as a governed case: intake from multiple channels, a triage board that routes by accommodation type, SLA timers on the interactive process and the documentation review, a resolution workflow that generates the accommodation letter and tracks instructor notification, a knowledge base of prior determinations for consistency, and analytics on case volume and type. Your SIS stays the enrollment record; Kissflow is the case file that proves the accommodation was in place and everyone who needed to know, knew.

What breaks when accommodation notification isn't tracked

Letter delivery depends on the student

An approved accommodation isn't binding on an instructor who was never sent the letter.

Documentation review has no renewal clock

Medical or psychological documentation supporting a long-standing accommodation goes unreviewed for years at a time.

Determinations aren't consistent across staff

Two similar requests can get different outcomes when there's no shared record of how prior cases were decided.

A complaint forces a manual reconstruction

Proving notification and process happened, not just that an accommodation was approved, means pulling emails after the fact.

Six modules. Built for a case that has to prove notification happened.

Every module ships with default forms, routing, and dashboards. Configure each one to your accommodation process in the visual builder.

Multi-channel intake

Captures an accommodation request from a student portal, an email, or a walk-in appointment into one case record.

Triage and interactive process routing

Routes each case to the right staff member by accommodation type and starts the interactive process.

Documentation review

Tracks medical or psychological documentation review against the request, with a renewal clock for long-standing cases.

Accommodation letter and delivery tracking

Generates the accommodation letter and tracks delivery and acknowledgment by every instructor of record on the case.

Case history and precedent

Retains prior determinations as a reference for consistent decisions on similar requests.

Case volume and type analytics

Reports on case volume, accommodation type, and renewal status across the office's caseload.

From request to system of record in four steps

Report

Report

An accommodation request enters through any channel and becomes a single case record.

Assess

Assess

The case is routed to a staff member, documentation is reviewed, and the interactive process determines what is reasonable.

Resolve

Resolve

An accommodation letter is generated and its delivery to each instructor of record is tracked to acknowledgment.

Record

Record

The accommodation is tracked toward its next-term renewal or closes if no longer needed, with full history retained.

Connects to your SIS and LMS; enrollment and course rosters stay where they belong

Kissflow does not replace your student information system or your learning management system. It is the case management layer that runs the interactive process and proves notification happened.

Built to prove notification, not just approval

Notification is tracked, not assumed

Delivery and acknowledgment by each instructor of record are part of the case, not left to the student.

Documentation on its own renewal clock

A long-standing accommodation's supporting documentation surfaces for review instead of going unchecked for years.

Prior determinations as reference

Similar requests can be decided consistently against a retained case history.

Live in weeks

Disability services configures intake, routing, and letter templates in the visual builder, without a systems project.

Caseload visible by type and status

Case volume, accommodation type, and renewal status are visible across the office, not just per case.

Access controlled to who needs to know

Case details stay restricted to disability services staff and the student, with instructor visibility limited to the letter itself.

We help disability services offices prove an accommodation was in place and every instructor who needed to know, knew

No. Your student information system and learning management system stay the enrollment and course record. Kissflow runs the accommodation case, intake through letter delivery and renewal.

That app handles conduct and Title IX complaints on a federal SLA clock. This app runs the ADA interactive process and accommodation letter lifecycle, a different legal basis and a different case type entirely.

The accommodation letter is delivered as a tracked request, and instructor acknowledgment is recorded on the case, not left to the student to confirm delivery.

Yes, for accommodations tied to a condition that can change, and the app can flag documentation for renewal review on a set interval.

Yes, in the visual builder, with the AI Builder able to generate a starting workflow from a description of your intake and interactive process.

Access is role-based and restricted to disability services staff, with instructors seeing only the accommodation letter relevant to their course.

Yes, a knowledge base of past determinations is available to staff working a similar request.
