Child Development Associates
Child Development Associates (CDA) is a community-based, non-profit organization with over 240 employees dedicated to creating positive change in the state of California. Founded by Charlene Tressler in 1974, the nonprofit agency started as a small community preschool. It has now expanded to serve more than 22,000 children across programs. They offer affordable child care, nutrition reimbursement, and an alternative payment program. CDA is now the fourth largest alternative payment program in the state of California and the largest sponsor of the Federal USDA child care food program.

Challenges faced

Manual processes. CDA handled all of its procurement tasks manually, using paper and multiple siloed systems. The process was very time-consuming and chaotic.

Hard to track purchases. CDA struggled to track multiple to and fros on emails. Digital signatures were hard to come by, and the approval process was disarrayed. With a lack of a proper system to track purchases, they were losing out on critical data.

Visibility on purchases. Without a proper system to track, the stakeholders and managers had no visibility into what purchases were made and by whom.
Solution
CDA wanted a complete overhaul of its procurement operations. They wanted to automate their procure-to-pay process end-to-end by creating a robust, tailor-made workflow to manage all their in-office purchases. Most importantly, they wanted to digitize their form and get approvals on the go.
The system was incorporated with a budget module which would enable the delegates to keep a check on the budget allocated to them and the balance left to book in future invoices. This helped the delegates in planning their monthly expenditure and also spot discrepancies well in advance and not close to the deadlines. We made a provision for all of the users to raise a purchase requisition, which goes through a dynamic approval workflow based on the PR value and department. Post-approval, the PO is automatically sent to the initiator and the vendor as a PDF.
Throughout this process, the initiator can track the status of their requests. By implementing an end-end procurement system, CDA was able to gain visibility into every step of their purchasing process and not have to shift between platforms significantly reducing the time-taken. Our team started off the project with custom requirement gathering from CDA to capture the business use cases and pain points precisely to address the roots of the challenges.
Kissflow Procurement Cloud completely automated CDA's P2P process with a customized workflow, made specifically to cater to the NGO's needs. We ensured the digital signatures were taken care of in the system with dynamic approval workflow. We also implemented a flexible voucher processing system. It came with transparent approval flows to enable the delegates to digitally submit their invoice vouchers with supporting documents and attachments which is mandated by the internal team for further processing.
Results
Post-COVID, CDA carried out its operation in a remote model. By implementing Kissflow Procurement Cloud into their system, CDA could digitize its procurement process without changing its process flow. They can now embrace the future of work and scale operations by remaining remote.
