Running a church takes as much of an effort, if not more, as it takes to run a SMB, says Brent Mills of Beaverton Foursquare Church. Although the end objectives are different for an organisation that is into providing services to humanity, churches too have a whole lot of activities taking place day in and out. Beaverton Foursquare Church, founded in 1961 and located in Beaverton, Oregano, has a weekly attendance of about 5000 people. The organisation employs 50 full time staff and has numerous volunteers to carry out various activities at the church and cater to the needs of the visitors. The church had in place processes to ensure organisational activities were carried out on time and as stipulated.
However, with numerous activities demanding attention and consuming time, processes and tasks were often overlooked. With the church being a not-for-profit organisation and operating on a budget, it required them to work efficiently to provide the best to the community. During our recent conversation, Brent spoke to us about how process automation had helped his organisation effectively utilize its most precious resources, time and money.
With the employees of the organisation mostly working away from their desks, Brent was looking for a solution that would enable initiating requests and approving processes while they were on the move. He wanted to ensure that requests and tasks progressed in a structured manner and didn’t fall out of the workflow.
Cumbersome Customized-Solutions: With the Beaverton Foursquare Church already using Google App Suites for organisational operations, they were looking to automate their workflow process using App Scripts. For one, writing app scripts for each workflow process consumed a lot of time. The second and more important problem was, in case any modification had to be made to an existing workflow process, it required the expertise of an app script writer. For a non-profit organisation, having a in-house programmer proved to be expensive.
Simple Workflow Solution: Brent was on the lookout for a simple solution that met the organisation’s needs of approving and initiating requests on the move, ensuring that processes never fell through the cracks. Beaverton Foursquare Church now has its Time off requests, purchase requests and incident reporting automated. The ability to access processes from anywhere made it possible for the mobile teams to report incidents and approve requests on the move. KiSSFLOW’s strong architecture doesn’t allow processes to fall through, the folks at Beaverton church have a clear view as to the progress of each request, making every workflow participant accountable for their actions.
At the Church, reporting has gone up by 40%, the organisation sees KiSSFLOW as an efficiency tool much needed for their organisation. Brent enjoys working on KiSSFLOW, he as automated all of Beaverton Foursquare’s organisational processes so far. Through process automation, the organisation spends much of its valuable in serving the community without worrying about process falling through cracks.
